Onsite Exhibition

This document contains important information from the conference organisers and service providers.

It has been designed to answer your pre-event and onsite enquiries, claiming your exhibitor entitlements before the event, and your role as an exhibitor.

It is your responsibility to share this exhibitor manual with any contractors or to ensure that they comply with the necessary requirements.

PUBLIC LIBABILITY INSURANCE

You must hold a current public liability insurance policy for a minimum of AUD 10,000,000.

Entry to the venue will be denied if you have not provided a copy of this information to the conference managers.

If you haven’t already done so, please email a copy of your public liability insurance policy to the conference managers (sponex@icem2022.com) no later than Tuesday 3 May. If you do not hold a current public liability insurance policy, valid in Australia, please contact the conference managers who can arrange a policy on your behalf (fee applies).

The MCEC and the conference managers shall not be responsible for any loss, damage or injury that may occur to the exhibitor, exhibitor’s employees (public or other) or property from any cause whatsoever prior, during and subsequent to the exhibition. The exhibitor, on contracting for space or an exhibition stand, expressly releases the organisers and the venue from, and agrees to indemnify same against, any and all claims for such direct and indirect loss, damage or injury.

Exhibitors shall indemnify and hold harmless the organisers, venue and their agents from all liability (damage, incident or accident) which might ensue from any cause resulting or connected with the transportation, placing, removal or display of exhibits.

FORMS TO COMPLETE

After you have read this exhibitor manual you will need to complete and return a number of forms or requirements to the different service providers by the deadline indicated. Failure to do so may result in our inability to provide the appropriate service/s.

Exhibition Entitlements

Booth Types and Inclusions

There are three exhibition booth options available:

1. 9sqm exhibition space only
2. 9sqm exhibition shell scheme-built stand
3. Table display 2m x 1.5m

Each purchased booth will receive the following entitlements:

Staff onsite
2 per 9sqm
Each exhibitor registration includes admission to the exhibition, Welcome Reception and all-day catering.
Walls
Walling Octanorm is 100. 2.4m high walling constructed using white melamine panels in an aluminium frame.
Fascia panel
Aluminium fascia, 30cm high on all aisle frontages.
Signage
All open aisle frontages will have a printed fascia sign consisting of company name and stand number.
Standard lettering in colour (maximum 30 characters)
Lights
2 x energy efficient spotlights are supplied per 9sqm.
Power
1 x single power point with a maximum of 4amps per stand, regardless of size.
Flooring
1m x 1m carpet tyles in onyx.
Delegate list
Soft copy delegate list available (subject to GDPR). Two weeks prior to conference dates and immediate post-conference.
Lead Capture app
Includes unique QR code and tracking based retrieval and technology in purchase price.
Promotion
Listing on industry exhibition page of the website and app Logo and 50-word company profile and contact details included in the app (i.e. contact name, number, email and website).

The floorplan (including catering locations) is subject to change at the discretion of the conference managers.

ARRIVING ONSITE

Please make sure you collect your registration items from the registration desk when you arrive onsite, before accessing the exhibition hall, bays 11 and 12.

You may be asked for ID to collect your registration materials. Unless other arrangements have been made, sponsor/exhibitor registrations will be available for pick up at the sponsorship and exhibition registration desk under your company name, while any delegate (including sponsored speakers) registrations will be available at the delegate registration desk under the name of the individual.
